3. Tax file numbers
We collect and handle tax file numbers strictly in accordance with the Privacy (Tax File Number) Rule 2015. Your TFN is used only for authorised taxation purposes, is not disclosed except where legally required or authorised, and is stored securely with access limited to authorised staff.

We generally collect information directly from you, in person, by phone, by email, or through our website. In some cases we may collect information from third parties with your consent or authority, such as your previous accountant during a transfer, the ATO, or your employer or super fund where relevant to preparing your return.

- Cloud accounting and practice management software providers we use to deliver services (for example Xero, MYOB, or QuickBooks), under their own privacy and security terms
- Your previous or new accountant, with your authorisation, when transferring records
- Professional advisers such as financial planners or solicitors, only with your consent
We do not sell your personal information to third parties.

Some of the software providers we use may store or process data on servers located outside Australia. Where this occurs, we take reasonable steps to ensure your information is handled consistently with the Australian Privacy Principles.

This includes secure file storage, restricted staff access, and secure transmission methods for sensitive documents. We retain client records for the period required by law (generally a minimum of five years for tax records under ATO requirements) and our professional obligations, after which records are securely destroyed or de-identified.
